Passport Application Process

Procedure of applying for an e-passport:

(a) First of all, fill out the online application form, and book the date and time of appointment. To fill the form, please click here .

(b) Then, five options will appear:

(i) To apply for a passport for the first time (First Issuance - New)
(ii) To renew an expired passport (Passport - Renewal) -- Data will be kept as in the previous passport, only a new passport will be issued with expiry date extended) 
(iii) To obtain a passport in place of a lost/stolen passport (Passport Replacement - Lost/Stolen)
(iv) To obtain a passport in place of a damaged passport (Replacement - Damaged)

(v) To obtain with corrected data (Modification - Data Correction) -- If any data have to be changed than mentioned in the currently existing passport)

You must choose an appropriate option. For example:

• If you have previously obtained a machine-readable passport (MRP) or an e-passport and there is nothing to change data at this time, choose “Passport Renewal.” If you have not obtained any MRP or E-passport before, select "To apply for a passport for the first time (First Issuance - New)." Also, if you had previously only obtained a handwritten passport, you would need to select the option "To apply for a passport for the first time (First Issuance - New)."

• If a new passport needs to be issued due to an error by the office, select the same option as was used for the incorrect passport i.e. “To obtain a passport in place of a damaged passport”

• If a new passport is required due to an applicant’s own error, select “Modification (Data Correction).”

• Applicants who are employed in the Nepal Army, Nepal Police, or other institutions and have previously obtained a machine-readable passport under the Gratis facility for peace-keeping missions but currently do not possess the passport, should select the “Passport - Renewal” option and mention the previous passport number in the application form.

•If you hold an official or diplomatic passport, you are not required to mention its number when applying for a regular passport. Simply proceed with the appropriate application option.

(c) After that, select whether you want to apply for a 34-page or 66-page passport and click the "Next" button.

(d) Then, choose the location from where you are applying. If applying from abroad, select "Other" option and choose your country of birth. Fill out all required details step-by-step in the application form and upload the specified/required documents. 
 

Note: When uploading documents, scan the original documents and ensure that the file size is 1MB or less. Click here to see the required documents.
 

(e) After completing the entire form, review all the details to ensure they are accurate and match the uploaded supporting documents. Then, click 'apply' to submt the online form. The filled form will automatically downloaded in PDF format or it also can be download manually.

(f) After submission, a "Download PDF" option will appear. Download the form and save the digital copy. Print the downloaded form and visit the enrolment center at the scheduled time. If you do not have a printing facility, you can also save the form on your mobile phone and bring it with you. However, when bringing it on your mobile, make sure to bring the original downloaded form (PDF, not a screenshot).

Note: If there is any error in your printed passport, a new application fee must be submitted with the applicable fee. Therefore, fill out the details carefully and accurately. It is best to fill it out the details yourself, and if someone else is assisting, make sure to review the details yourself.


 Also, if you find any errors after submitting the form, you can request for correction at the time your photo is taken. After making corrections, review all the details properly before signing the form. Once your photo is taken and the form is approved, corrections cannot be made. If an error is found afterward, the passport must be cancelled, and the entire process must be restarted from the very beginning.

 

While filling out the passport application form, please mention the details as prescribed below: 

 

(1) Given name: Write the first and middle names, i.e., all names except the surname.

Note: When mentioning the name/surname, only letters can be used; other symbols cannot be included. Also, do not include any titles (e.g., Dr., Mr., Ms.).


(2) Surname: Enter the surname as mentioned in the applicant’s Nepali Citizenship Certificate or Minor Identity Card (such as, Thapa, Yadav, Aalam, etc.) 

(a). If there is more than one surname (e.g., Poudel Kshetri, Khadka Pariyar), please mention all of them.
(b). If there is a dot (.) in your surname, write the surname without the dot (e.g., if it is G.C., write GC or Gici).
(c). If you do not haven a surname, write your given name as it is.

(3) Place of Birth: Enter the place of birth as mentioned in the Citizenship/Minor ID Card. Applicants born in Nepal should write the name of the district, and applicants born abroad should enter the name of the country, where they were born. When mentioning birth abroad, select the "Other" or choose the country where you were born.

(4) Nationality: Write 'NEPALI' in the field for nationality. In case of Travel Document, if the nationality is different, fill it accordingly. 

(5) Date of Birth: 
- A.D.: In this section, convert the birth date from the Citizenship/Minor ID Card to the Gregorian calendar and enter it. If only the year of birth is mentioned in the citizenship, then write the date of birth according to National Identity Card or the one in your current passport without causing any discrepancies. 
- B.S.: In this section, enter the birth date according to the Citizenship/Minor ID Card or system will automatically converts once you put the date of birth in AD.
 

If there was an error in the date of birth in previously issued passport, correct it while filling the application form for renewal via Modification (Data Correction).

(6) Sex: Write the gender as per the applicant's citizenship certificate: M for male, F for female, and X for other.


(7) Address: Enter the address as per your Citizenship or National ID Card. If your address has been changed due to relocation, then enter the new address and upload a copy of the Migration Certificate. For married women, marriage certificate should be submitted to maintain current address (new address after marriage).

When filling in the subsections under the address (7A.,7B., 7C., 7D. & 7E.), the details should be entered as per your Citizenship, National ID or Migration certificate, including province, district, municipality, ward number, village/town or street name if available. 

 

(8)  Email: Enter your valid email address. You will be informed about the status of your passport (whether ready for pick up or rejected) via email.


(9) Phone No.: Enter your active phone number with country code. If applying from abroad, you may provide your international phone number. As an alternative, you can provide the phone number of a close relative or someone nearby. This phone number will receive notifications regarding the status of the passport.

 

(10) Citizenship/Minor Identity Card No.: (10A): Enter the number in your Nepali citizenship certificate or Minor ID card. If there was an error in the citizenship number in the previously issued passport, mention it correctly in the application form for renewal.
 

Only 14 digits can be accommodated in the citizenship number section. If the citizenship number is too long (more than 14 digits), enter the last 14 digits from the right. This is to mean that since this section can accommodate only 14 digits, the last 14 digits from the right should be entered. For example, if an applicant has a Nepali citizenship or minor identity card number like 072-312-13792/432796, they should enter only 31213792432796 in the space provided, which can hold a maximum of 14 digits.

(10B): Date of Issue: Enter the date your citizenship or Minor ID card was issued (in B.S.). If a copy of citizenship has been issued, mention the date when the citizenship was first issued.

(10C): Place of Issue: Enter the name of the district where the Citizenship/Minor ID card was issued. If a copy of citizenship has been issued from another district, enter the place where the citizenship was initially issued.

- For children born abroad to Nepali parents who have not obtained a Minor ID card, mention the birth registration or temporary registration number, date, and the name of the city where the Nepali diplomatic mission is located.

(11) National Identity No (NIN).: Enter the National Identity Number (NIN).

(12) Latest Passport or Travel Document No.: If you have previously obtained a passport or travel document, enter its number. If you have had multiple passports/travel documents, enter the number of the latest one. But, if you have only obtained handwritten passport, then it is not necessary to mention the number of the handwritten passport.


11A. Date of Issue A.D.: Enter the date your latest passport or travel document was issued.
11B. Place of Issue A.D.: Enter the place where your latest passport was issued (If it was issued from district administration office then, the district’s name; if it was issued from area administration office then the area’s name; if it was issued from the Department then enter ‘Department of Passports’; or if it was issued from foreign mission then, enter the name of country/city in which the mission is located).


(13) Father’s Full name: Enter your father's full name as mentioned in your Nepali Citizenship Certificate.


(14) Mother's Full name: Enter your mother's full name as mentioned in your Nepali Citizenship Certificate.
